Automatic · No rep action needed

Customer submits quote on the public calculator. Quote fires to sales@ via EmailJS automatically.

Check sales@nobrainercontainers.com for incoming quotes
Review pricing, confirm availability with vendor

Vendor Order
Rep action · Internal portal

Fill in the vendor order form. App auto-detects nearest pickup yard based on delivery ZIP.

Fill in all customer + container fields
Verify yard auto-detection is correct
Hit Send to Vendor — email fires via EmailJS to vendor + CC ops@
Internal Portal → Vendor Order tab

Processing Email
Immediate · Same day as order

Send Email #1 to customer right after the vendor order is submitted. Lets them know things are moving.

Go to Fulfillment tab immediately after sending vendor order
Hit Send Processing Email
Customer gets: "Your order is confirmed, scheduling link in 3 biz days"
Internal Portal → Fulfillment → Step 1
Step 04

Vendor Payment
Log invoice OR card charge

When WestGulf confirms — log it. This unlocks the scheduling step.

Invoice: log invoice #, amount, date paid
Card: log confirmation #, amount, card last 4
Hit Mark Vendor Confirmed → scheduling unlocks
Internal Portal → Fulfillment → Step 2
Step 05

Schedule Delivery
3 biz days after vendor confirms

Send Email #2 with scheduling link, or book manually if customer calls in. Earliest date auto-calculates.

Hit Send Scheduling Email → customer gets link to pick their 4-hr window
Or: use the manual calendar to book for them if they call in
Confirmation email fires automatically when date is set
Internal Portal → Fulfillment → Step 3
Step 06
Mark Delivered
After driver confirms drop

Once the container is on the ground, close the order. Full audit trail is saved on the Timeline tab.

Confirm with driver that delivery is complete
Go to Timeline tab → hit Mark as Delivered
Order is closed — timestamps saved
Internal Portal → Timeline tab

Tips & Gotchas
Things that trip up new reps
⚠ Watch Out
The Fulfillment tab is locked until you log vendor payment. Don't skip Step 2 — it's the unlock trigger for scheduling.
✓ Pro Tip
Enter the full delivery address (street + city + state) not just ZIP — the yard auto-detection is more accurate with the full address.
⚠ Watch Out
Earliest delivery date = 3 business days from vendor confirmation, not from when the order was placed. The calendar auto-blocks earlier dates.
✓ Pro Tip
If a customer calls to schedule, use the manual calendar in Step 3. Pick their date + window and it fires the confirmation email automatically.
⚠ Watch Out
If emails stop sending, check emailjs.com → Account. Free tier is 200/month. Contact Bert if you're hitting the limit — he'll upgrade the plan.
✓ Pro Tip
Use the Timeline tab to track everything. Timestamps are saved so you always know when each step happened — useful for customer inquiries.
